Shipping & Receiving Coordinator

Reports to: Production Manager / Director of Operations

About This Role

You manage the flow of materials and finished parts through our facility. Receive incoming raw materials, verify quantities against purchase orders, organize stock, and ensure the shop floor always has what it needs. On the outbound side, you'll package precision aerospace parts to customer specifications, generate shipping labels, coordinate carriers, and make sure every shipment goes out on time and damage-free.

In a precision machining shop, how you handle parts matters. These aren't commodity items — they're high-value aerospace and defense components with strict packaging and documentation requirements. We're a startup building our logistics systems, so you'll have input on how we organize our stockroom, track inventory, and streamline our shipping processes.

Key Responsibilities

  • Receive and inspect incoming raw materials against purchase orders
  • Organize and maintain raw material stockroom and inventory
  • Package finished precision parts per customer packaging specifications
  • Generate shipping labels and coordinate with carriers (UPS, FedEx, freight)
  • Maintain shipping and receiving logs with full traceability
  • Verify material certifications (mill certs) accompany incoming stock
  • Prepare export documentation and packing slips for each shipment
  • Coordinate with production on material needs and delivery schedules
  • Perform cycle counts and support physical inventory
  • Maintain a clean, organized shipping and receiving area
  • Handle returns and communicate discrepancies to purchasing

Requirements

  • 1+ year of shipping, receiving, or warehouse experience
  • Basic computer skills (email, spreadsheets, shipping software)
  • Attention to detail — accuracy in counts, labels, and documentation
  • Ability to lift up to 50 lbs and operate a pallet jack
  • Good organizational skills and ability to prioritize tasks
  • Reliable attendance and strong work ethic
  • Basic math skills for counting, measuring, and verifying quantities
  • Ability to work in a manufacturing environment
  • Clear communication skills (written and verbal)

Preferred Qualifications

  • Experience in a manufacturing or machine shop environment
  • Forklift certification (or willingness to obtain)
  • Familiarity with UPS WorldShip, FedEx Ship Manager, or similar
  • Experience with ERP/MRP inventory systems
  • Knowledge of aerospace packaging and documentation requirements
  • Basic understanding of raw materials (aluminum, steel, titanium bar stock)

Additional Information

Work Schedule: Monday – Friday, standard business hours. Occasional overtime during high-volume shipping periods.
